1.Who we are

Alignodontic DPS (Alignodontic Digital Planning Services) provides digital treatment planning for dental professionals. For the personal data described in this policy, Alignodontic DPS is the data controller. Contact details for privacy requests are published on the contact page.

2.What we collect

  • Account details: name, email address, clinic or organisation, phone number, country and professional category, when you register.
  • Contact messages: the details you enter in the contact form and the message itself.
  • Case data: the case reference you choose, case type, clinical instructions, treatment objectives, and the files you upload (intraoral scans, photographs, radiographs and other records).
  • Case activity: comments, change requests, approvals, status changes, uploads and downloads, with timestamps and the account that performed them.
  • Technical data: IP address and browser details in server logs, used for security and rate limiting.

3.Patient information

You are asked to identify cases by a reference of your own rather than a patient name, and not to include patient-identifying information in file names or instructions. Dental scans and photographs may nonetheless be personal data of your patient. You, as the treating clinician or laboratory, remain responsible for the lawful basis on which you share them with us and for informing your patients as your local rules require. We process them only to prepare the planning you have requested.

4.Why we process it

  • To create and operate your account and respond to your messages.
  • To prepare, review, revise and deliver digital treatment plans you have requested.
  • To keep a record of each case's versions and decisions, which is part of the planning service.
  • To protect the service against abuse and unauthorised access.
  • To send service emails about your cases. We do not send marketing email without your agreement.

5.Who can see case files

Case files are stored privately and are never made publicly accessible. They can be opened only by the account that submitted the case and by Alignodontic DPS planning and administrative staff assigned to it, through authenticated, access-controlled links. Every download is recorded in the case's activity log.

6.How long we keep it

  • Case files and versions: for the life of the case and for a retention period afterwards so that refinements and questions can be answered; you may ask for a case to be deleted earlier once it is complete.
  • Account details: while the account exists and for a short period after closure.
  • Contact messages: as long as needed to respond and for our records of the enquiry.
  • Server logs: for a limited period for security purposes.

7.Where and how it is stored

Data is stored on servers we control or that are operated for us by hosting providers under contract. Files are held in private storage outside any publicly served directory, transmitted over HTTPS, and protected by authentication and role-based permissions. We make no claims to specific certifications that we have not obtained.

8.Your rights

Depending on where you are, you may have the right to access, correct, export or delete your personal data, to restrict or object to processing, and to complain to a supervisory authority. To exercise a right, contact us using the details on the contact page. We will verify your identity before acting on a request about an account or a case.

9.Cookies

We use a session cookie to keep you signed in and, only when analytics is configured, an analytics cookie. Details are in the cookie policy.

10.Changes

We may update this policy. The date at the top shows the latest version; material changes will be announced to account holders.
